If you’re experiencing issues with your email, don’t panic. Most email problems are caused by incorrect settings or DNS propagation. Follow this checklist to identify and fix the issue.
1. Check Webmail First
The first step is to determine if the problem is with the server or your device.
- Log in to your email via Webmail (webmail.yourdomain.com).
- Can you send an email from Webmail? If yes, your server is fine; the issue is with your phone or computer settings.
- Can you receive an email in Webmail? If yes, the issue is again with your local device configuration.
2. “I Can’t Send Emails” (Outgoing Issues)
- Check Port 465: Ensure your outgoing (SMTP) port is set to 465 with SSL/TLS.
- Try Port 587: Some ISPs (Internet Service Providers) block port 465. Change your port to 587 and use STARTTLS encryption.
- Outgoing Authentication: Make sure the “My outgoing server requires authentication” checkbox is ON in your mail app. You must use the same username and password as your incoming mail.
3. “I’m Not Receiving Emails” (Incoming Issues)
- Check MX Records: If you recently moved to HostWP.io or changed DNS (e.g., Cloudflare), your MX records might be wrong. Use DNSChecker.org to see if your MX record points to mail.yourdomain.com.
- Disk Quota Full: If your hosting plan or your specific email account has reached its storage limit, the server will reject new emails. Check your usage in cPanel > Email Accounts.
- DNS Propagation: Did you just point your domain to us? It can take up to 24 hours for email routing to update globally.
4. “My Emails are Going to Spam”
- Check SPF/DKIM: Go to cPanel > Email Deliverability. If you see a “Status: Problem,” click Repair. Without these, Gmail and Outlook often reject mail.
- Blacklist Check: Use a tool like MXToolbox to see if your domain has been flagged for sending spam in the past.
5. IP Blocks (The “Connection Timed Out” Error)
If your mail app keeps saying “Connecting…” and never finishes, our firewall (Imunify360) might have blocked your IP address due to too many failed login attempts.
- The Fix: Try logging in from a different network (like your phone’s 5G). If it works there, please contact HostWP.io support with your local IP address so we can whitelist you.
