To manage your emails on your phone or computer, you need to connect it to an email client such as Outlook, Thunderbird, Gmail/Android, iPhone, etc. We strictly recommend using Secure SSL/TLS settings to ensure your data is encrypted.
1. The Universal Settings (Manual Setup)
If your email app asks for manual settings, use these details. Replace yourdomain.com with your actual domain name.
| Setting | Value |
| Username | Your full email address (e.g., you@yourdomain.com) |
| Password | The password you set in cPanel |
| Incoming Server | mail.yourdomain.com |
| Outgoing Server | mail.yourdomain.com |
| Incoming Port (IMAP) | 993 (Recommended) |
| Incoming Port (POP3) | 995 |
| Outgoing Port (SMTP) | 465 |
| Authentication | Required (Same as your email password) |

2. Setup on iPhone (iOS)
- Go to Settings > Mail > Accounts > Add Account.
- Select Other > Add Mail Account.
- Enter your Name, Email, and Password.
- Select IMAP at the top.
- Enter the Incoming and Outgoing server details from the table above.
- If a warning about “Server Identity” appears, click Continue/Trust (this happens if your SSL is still propagating).
- Save and wait for the checkmarks to appear.
3. Setup on Outlook (Desktop)
- Open Outlook and go to File > Add Account.
- Enter your email address and click Advanced options > check Let me set up my account manually.
- Choose IMAP.
- Enter mail.yourdomain.com for both Incoming and Outgoing.
- Set Incoming Port to 993 (Encryption: SSL/TLS).
- Set Outgoing Port to 465 (Encryption: SSL/TLS).
- Click Next and enter your password.
4. Setup on Gmail App (Android/iOS)
- Open the Gmail app and tap your profile icon > Add another account.
- Select Other.
- Enter your full email address and select Personal (IMAP).
- Enter your password.
- For Incoming and Outgoing server settings, ensure the server is mail.yourdomain.com and the security type is SSL/TLS.

Critical Knowledge: IMAP vs. POP3
- IMAP (Recommended): Keeps emails on your HostWP.io cPanel account. If you delete an email on your phone, it’s deleted on your laptop too. Perfect for multiple devices.
- POP3: Downloads the email to your device and usually removes it from the server. Use this only if you want to save server disk space and only use one device.
[!NOTE]
Troubleshooting SMTP: If you cannot send mail while on a public Wi-Fi or certain ISPs, they might block port 465. You can try port 587 with STARTTLS encryption as an alternative.
